Employee Email Signature Standards

Email signatures must follow the Rochester Regional Health standard format to ensure consistency with our brand and present a unified identity across the organization. Each signature must include your full name, job title, phone number, the RRH website (rochesterregional.org), and the primary RRH logo and tagline. You may also choose to personalize your signature by including gender pronouns and/or your office/department address. Two approved templates are available below for you to download and use.

Do's and Don'ts for RRH Email Signatures

  • Do not alter the logo in size, color, style, or placement.

  • Use only approved fonts (e.g., Aptos, Arial, or system default sans-serif).

  • Do not use personal quotes, images, emojis, or add any additional information to the email signature, aside from what is provided in the templates.

  • Do not add background colors or patterns to the signature block.

  • Keep formatting consistent — use standard font sizes and colors that are provided in the template.

  • Do not include promotional banners, taglines, event graphics or any other images within your signature.

  • Use only official RRH contact details (no personal emails or addresses, etc.).

  • Test your signature to ensure proper rendering.
